Your PC still works. But is it right for the job?

A laptop can still work perfectly well after four years. But that does not necessarily mean it is still the right tool for the job. AI applications, changing security requirements and new ways of working are placing greater demands on workplace devices. This makes the PC an increasingly important part of your wider business and IT strategy.

For many organisations, replacing a computer has traditionally been straightforward: keep using it until performance declines or something stops working.

That approach is becoming less clear-cut.

Modern applications are placing greater demands on devices, while AI is becoming part of everyday work. At the same time, hybrid working has changed what employees need from their PCs. As a result, a computer can still function while no longer supporting the employee or the business as effectively as it could.

Modern PCs are also designed differently. They increasingly combine CPU, GPU and NPU capabilities, with the NPU specifically developed to process AI workloads efficiently. This enables more AI tasks to run locally on the device while using less power.

AI is changing what businesses need from their PCs

When organisations discuss AI, much of the focus naturally falls on software. But getting value from AI also depends on having hardware that can support it effectively.

“We are in the middle of the AI era, but the biggest developments are still ahead of us,” says Anders Demner, Senior Partner Development Manager at Microsoft. “If organisations want to get the most from AI, they also need the right hardware.”

Copilot+ PCs are one example of this development. These Windows 11 devices are designed with AI workloads in mind and include dedicated processing capabilities that allow more AI features to run locally.

For employees, the technology itself is not the main point. What matters is whether it can make everyday work easier and more efficient.

According to Microsoft research, employees can save up to five hours a week by using AI capabilities such as improved search and other Copilot+ features.

The underlying hardware plays an important role in making these capabilities work efficiently. But the potential benefit will vary from one employee to another, which makes understanding different user needs increasingly important.

Different roles need different devices

There is rarely one computer that is right for everyone in an organisation.

Someone working with images, video or other demanding applications will have very different hardware requirements from an employee whose working day mainly consists of meetings, email and standard business applications.

“AI is not one single application. A marketer working with images and video has different needs from an account manager who spends most of their time in meetings and travelling,” says Pontus Willquist, VP Client and Endpoint Solutions at Dustin. “That is why we increasingly see organisations choosing different types of devices for different user groups.”

This calls for a more targeted approach to workplace hardware.

Instead of giving everyone the same standard laptop, organisations can look at different user profiles and match devices more closely to how people actually work. Performance may be the priority for some users, while mobility, battery life or local AI capabilities matter more to others.

That does not mean replacing every older computer. It is about putting the right equipment in the hands of the right employee.

Security is also a hardware consideration

AI is not the only reason to review older workplace devices. Security requirements have also changed considerably in recent years.

“Cybercrime has grown into one of the world’s biggest economies. New devices offer significantly better security capabilities than systems from four or five years ago,” says Demner.

Security is increasingly being built directly into the hardware as well as provided through software. Technologies such as Microsoft Pluton and Intel vPro are designed to help protect devices against modern threats and support more secure management.

For businesses, this means that assessing an older computer is not only about whether it can still run the applications an employee needs.

It is also worth considering whether the device supports the security and management capabilities required by the organisation today.

Look beyond the purchase price

When budgets are under pressure, keeping existing equipment for as long as possible can seem like the most economical choice. In many cases, extending the useful life of a device makes good sense.

But the initial purchase price is only one part of the equation.

Older devices can require more maintenance and create additional work for IT teams. Employees may also lose time if their devices become slower or struggle with the applications they use every day.

“The biggest cost is often not buying a new laptop, but the cost of doing nothing,” says Demner. “Older devices require more maintenance, create more management overhead and deliver lower productivity.”

This does not mean organisations should replace equipment based on age alone. Instead, it is about looking at the overall value of keeping a device in use compared with replacing, reassigning or recovering it.

Do not overlook the residual value

There is another part of the calculation that can easily be missed: what existing equipment is still worth.

The longer an organisation keeps a device, the more its residual value is likely to decline. Replacing it at the right point in its lifecycle can therefore make new investment more economical.

“Many companies do not realise how quickly older devices lose value,” says Willquist. “Organisations that replace their laptops at the right time can often recover a significant part of that value through our Takeback service. This makes investing in new equipment more attractive.”

A PC that is no longer suitable for one employee may also still be useful elsewhere in the organisation. Looking at devices across their full lifecycle can help businesses decide what should remain in use, what can be reassigned and what should be replaced or recovered.

Planning ahead makes those decisions easier than waiting until equipment fails or has lost most of its remaining value.

The PC is becoming a more strategic choice

The role of the workplace PC will continue to evolve as AI becomes more deeply integrated into everyday applications.

The growth of AI agents is likely to add another dimension.

“These agents also need somewhere to run,” says Demner. “And that requires modern hardware.”

For businesses, the conclusion is not that every four-year-old computer suddenly needs replacing.

It is that device decisions deserve more attention than they may have received in the past.

Performance, AI capabilities, security, employee needs, support requirements and residual value all form part of the picture. By looking at them together, organisations can make more informed decisions about which devices should remain in use and where an upgrade could make a meaningful difference.

A four-year-old PC may still have plenty to offer. The more useful question is whether it still meets the needs of the employee and the business today.
